When to issue a bonus order

Each enterprise has the right to develop a bonus system on its own, it is fixed in a local act, for example, in the Regulation on bonuses. With the established bonus system, the employer is obliged to comply with the fixed procedure for the payment of incentives. If this is not done, he may be held administratively liable.

The award order refers to the administrative document on the basis of which payments will be made. Before issuing such an order, you must:

  • create lists for departments of the organization;
  • check compliance with all conditions of bonuses;
  • agree and clarify the amount of bonus payments with the head of the unit for each employee from the list presented;
  • submit an order on bonuses in the final version for signature to the head of the organization.

Is it necessary to draw up an order on bonuses for an employee on a monthly basis if bonuses are provided for by an employment contract

If a unified form No. T-11 is used for an order for a bonus, it must be drawn up monthly. This is due to the fact that in the first section of the instructions, which were approved by the Decree of the State Statistics Committee of Russia dated January 5, 2004 under No. 1, when filling out the form, there are no transfers of those types of bonuses, upon payment of which this order form is drawn up. Accordingly, an order for bonuses to employees is issued for any incentive and incentive payments.

It should be borne in mind that there is another point of view on this issue. An order in the form No. T-11 (or No. T-11a) should be drawn up only for the payment of one-time bonuses for high performance indicators. This interpretation of the issue is due to the fact that the instructions for filling out the relevant forms of orders say that the document is used to process incentive payments for success in work.

Monthly payments are stimulating. They are not incentives, they are part of the remuneration system and are issued on a regular basis. With a literal interpretation of the instructions, it can be concluded that it is not necessary to draw up an order in a unified form with monthly incentive payments. At present, instead of forms No. T-11 and No. T-11a, it is possible to use forms according to independently developed samples. Each organization has the right to determine not only the form of orders, but also the procedure for issuing them, fixing the established rules in a local regulatory legal act. This is indicated by the provision of Article 8 of the Labor Code of the Russian Federation.

Varieties of orders for bonuses to employees

A sample order for a bonus to employees is distinguished by the following indicators:

How the award is issued

The procedure for bonuses is established by an internal act of the organization - the regulation on bonuses. It establishes cases and indicators upon achievement of which employees are entitled to incentive payments. The provision also prescribes the need for a monthly incentive surcharge, often it is set as a percentage of the salary.

The presence of a provision on bonuses is especially important for budgetary organizations that pay additional remuneration from the payroll allocated from the budget. The regulation on bonuses to budgetary institutions is developed on the basis of departmental acts of the system in which the institution is located.

For the payment of each individual remuneration, a special order on bonuses is issued.

What form to use for the order

Decree of the State Statistics Committee of the Russian Federation dated 05.01.2004 No. 1 approved unified forms of many internal acts necessary in the economic work of the organization. Among them are forms No. T-11 and T-11a for bonuses to employees.

Since 2013, these forms have ceased to be mandatory. The organization has the right not to use the proposed forms, but to issue acts on additional incentives in a free form or develop its own templates.

How to make an order

A sample order for an award for good work or any other achievement should contain the following information:

  • the name of the organization in which it was published;
  • details: number and date;
  • FULL NAME. the employee or employees who are rewarded, their personnel numbers, positions and structural divisions;
  • incentive motive - the reason for which the bonus is paid;
  • type of promotion: you must specify "award";
  • reward amount: in words and numbers;
  • grounds, for example, a memo from the head of the employee being awarded;
  • position and signature of the head of the organization.

If material remuneration is issued in connection with success in work, the wording of the incentive motive in the order for the award may be as follows:

  • for significant indicators of the intensity of labor activity;
  • for a high level of quality of work;
  • for achieving planned targets.

Monthly bonus order

In addition to one-time rewards, the employer has the right to issue an order for periodic bonuses. With this document, he indicates a certain frequency of payment, for example, to prescribe that additional remuneration is paid along with wages on a monthly basis in the amount of a certain percentage of wages.

Order of the thirteenth salary

A separate type of bonus is the 13th salary. At its core, this is a one-time payment dedicated to the end of the year and marks its results. The concept of "13-salary" is not legal and is accepted only in everyday life.

How much and how to store

Bonus orders are a type of personnel documents and are subject to storage for seventy-five years, as established by paragraph 19 of the List approved by Order of the Ministry of Culture of Russia dated August 25, 2010 No. 558.

To store any documents, the company must form files. Cases are included in the general nomenclature of affairs of the organization. Volumes are recommended to be formed from documents with equal retention periods.

Preparatory procedure

The issuance of an order for promotion precedes the submission for promotion, drawn up in any form. The immediate supervisor of the awarded employee indicates in the memo:

  • personal information about the promoted person (full name, department, position, personnel number);
  • data on seniority, promotions, achievements, awards;
  • characteristics of personal and business qualities.

After reviewing the note, the head of the company imposes an approving resolution, indicates the deadline and those responsible for execution. Unified document form: is it mandatory to apply?

From January 1, 2013, it is not necessary to use the legally approved forms of documents contained in the "Albums of Unified Forms" (with the exception of some primary documents). There is also no ban on their use. In this regard, non-governmental organizations have the right to decide whether to use unified forms or use forms of documents developed independently (Information of the Ministry of Finance of Russia No. PZ-10/2012).

The incentive order is an important accounting document, therefore, it must contain the details established by law, in accordance with Art. 9 of Law No. 402-FZ of 06.12.2011 "On Accounting".

Drawing up an order in a unified form T-11

An order for bonuses (monetary or otherwise) for an employee of an organization in the form T-11 is filled out as follows:

    At the top of the document indicate the name of the organization and the OKPO code.

    Information about the promoted employee is entered (full name, position, structural unit, personnel number).

    The motive and type of encouragement are indicated.

    If the incentive is of a material nature, indicate the amount of the monetary reward (in numbers and in words). If the incentive is not monetary, this line can be removed from the document.

    Then you need to indicate the name of the document that became the basis for drawing up the order (representation, petition, decision of the trade union, etc.).

The order on monetary incentives (or otherwise) is signed by the head of the organization. The employee referred to in the order must familiarize himself with the document and put his signature. The order must also be familiarized with the signature of the person responsible for accruing bonus payments or for issuing other employee incentives (for example, the chief accountant, head of the personnel department, etc.).

Drawing up an order in any form

In order for the order to have legal force, it must contain the following information:

    name of the legal entity or individual entrepreneur;

Bonus system at enterprises

In many organizations, the provision on bonuses is contained in the collective agreement or other separate regulations. They prescribe the reasons, conditions, form, size and procedure for issuing bonuses. If there is no such document in the internal policy of the enterprise, then bonuses can occur on an individual basis, on the basis of a simple written order of the director.

Basis for issuing an order

Any order issued by the management of the organization must always have a documentary basis. In this case, it is usually a presentation or a memorandum from the head of the structural unit, which indicates the employee or group of employees who have achieved certain success in their professional activities.

Who is preparing the document

As a rule, the execution of such orders is the competence of a legal adviser, a specialist in the personnel department, the head of a structural unit, or, in extreme cases, the secretary of an enterprise. And regardless of who is filling out the document, it must be submitted for approval to the director of the organization.

Basic rules for ordering

As today's law says, a bonus order can be issued in a free form. Nevertheless, many enterprises and organizations, as before, actively use the previously approved and generally applicable

  • form T-11(if one employee is nominated for bonus)
  • or form T-11a(if a group of employees is supposed to be rewarded).

Both of these forms are quite similar both in structure and content.

The adherence to the "old" forms is quite understandable: they include all the necessary data, including information about the employer and awarded employees, information about the reason for the bonus and the award itself, etc.

The order can be issued in two versions: both in writing, by hand, and in printed form. But no matter which one is chosen, it must always contain the original signature of the head and the signatures of the employees being awarded.

A document is being drawn up in a single copy, which serves as the basis for further actions in relation to the awarded employees.

After registration, the order is mandatory registered in the internal register of documents, then transferred first to the accounting department, and then for storage in the company's archive.

An example of filling out an order T-11

Standard forms T-11 or T-11a are quite simple and clear, so they should not cause any difficulties when filling out.

In the first part of the T-11 document, which was developed for the bonus of one employee, to begin with, the full name of the company, the OKPO code (in accordance with the registration papers), as well as the number of the order for internal document flow and the date of compilation are indicated.

Then, the last name, first name, patronymic of the employee, his personnel number (if such records are kept at the enterprise), the name of the position and the structural unit (section, workshop, brigade) in which the applicant for the award works.

In the second part of the order, the motive must be indicated, i.e. the reason that served as the reason for the award, then its type, and if it is a sum of money, then its exact amount (in words and numbers).

An example of filling out an order T-11a

This order form is filled out when a group of employees is supposed to be rewarded.

The first part of the T-11a form almost exactly repeats the content of the T-11 form and is also filled in the same way. The difference lies in the fact that the full name and the department in which a particular employee works are not indicated here, but instead the incentive motive and its type are written.

In the second part of the document, first there is a table in which the full name of each bonus employee, his personnel number, as well as the structural unit to which he belongs (it should be noted that employees may belong to different departments of the enterprise) are entered in order. Then the position of the employees and the amount of the bonus due to each of them are indicated (the size of the bonus may differ).

Further in the line below again enters base, with reference to the date and number of the document, as well as the signature of the head.
