  • Changes to the configuration cannot be made: only the generic solution and its upgrade are supported.
  • Working in the "client-server" format is also impossible.

If an enterprise needs these functions and wants to work, it is necessary to apply the following configurations: “Motor transport management 1C PROF” or “1C: Enterprise 8.2”, which differ in full functionality, the ability to rewrite “for themselves”, and can use additionally written modules.

  • Even in the basic version, it is possible to change the layouts of these documents.
  • Full audit of all changes made to waybills. A common, constantly updated database will prevent any attempts of fraud.

But what if the organization does not have printers of the above models? Basic notes on using the program

When processing waybills, the program calculates the specified production parameters (total mileage, freight turnover, operating hours, etc.) and uses them in the future to generate various analytical reports and control the passage of scheduled maintenance.

The norms for the passage of scheduled maintenance are set in the reference book "Vehicle Models". The program allows you to adjust maintenance rates both depending on the volume of production and depending on calendar dates. Any arbitrary parameter can be selected as a production parameter, for example: mileage, number of operations performed, running time in engine hours, etc.

In the presented figure, maintenance standards will be applied as follows: maintenance1 will be performed every 10,000 km, but at least once every 18 months. When there are 300 km left before the mileage of 10,000 km, this car will be included in the report "Monitoring the timing of the approach of MOT", and in the vehicle directory it will begin to be highlighted with a special icon.

The functionality of the program allows you to control the validity period of any documents issued to drivers and vehicles. Types of documents are configured through a special directory, and their number is unlimited, for example: OSAGO policies, various certificates, medical certificates, visas, etc. Expiration control is carried out in a special report, in addition, drivers and cars are highlighted in the directories with a special icon.

Accounting for tires, batteries, first aid kits, walkie-talkies and other additional equipment is carried out in the context of each car, and tires - also in the context of installation locations. The program “Remembers” the place of installation and the date of installation or replacement of each tire, and automatically takes into account the mileage for each tire currently on the car when processing waybills. Tire wear monitoring reports help you make quick decisions about when to replace tires.

The program keeps track of traffic accidents (RTA). The relevant documents contain the data of the car and the driver involved in the accident, the list of other third-party participants in the accident, the data of the damage assessment and the insurance company. Analytical reports allow you to analyze the causes of accidents, the frequency of drivers involved in road accidents, and compare the costs of restoring repairs with the amounts paid by insurance companies.

Subsystem accounting for fuel and lubricants

The subsystem is designed to set fuel consumption rates, accounting for the receipt, issue and consumption of fuel and lubricants.

The receipt and issue of fuel and lubricants is documented by the documents "Receipt of goods" and "Refilling fuel and lubricants", the calculation of fuel consumption is carried out in waybills. In case of return of fuel from the vehicle to the warehouse, special documents are provided for draining fuel and lubricants.

The program implements the possibility of registration of gas stations of the following types:

  • from the warehouse;
  • for cash;
  • by plastic card;
  • by coupons;
  • from the supplier.

For cases of fueling with plastic cards, the program implements additional accounting options - loading data from reports with fueling details and automatic comparison with data entered on the basis of drivers' receipts. The program delivery includes processing for downloading data on gas stations of the following processing centers:

To conduct an inventory of fuel residues in the tanks of vehicles, the document "Inventory of fuels and lubricants in the vehicle" was implemented.

The calculation of fuel consumption is performed in the waybill during its processing. The standard consumption is calculated according to the consumption rates, which are configured in the "Vehicle Models" directory. All calculation algorithms are implemented in strict accordance with the order of the Ministry of Transport and allow you to calculate the following types of fuel consumption:

  • linear expense per run;
  • the cost of transport work and the change in its own weight;
  • the cost of the heater;
  • special work expenses equipment;
  • expense of additional operations;
  • the cost of starting the engine;
  • the cost of mileage when performing special work;
  • idle time with the engine running.

The program has the ability to take into account seasonal allowances for fuel consumption, as well as allowances for work in difficult conditions.

The solution also implements accounting for the remains of technical fluids (TF) on the vehicle. In the report "Remains of fuel and lubricants on the vehicle" the display of the remaining fuel oil on the vehicle has been added.

The resulting data on the movement of fuel and lubricants are presented in the following reports:

  • statement of the movement of fuel and lubricants;
  • statement of receipt-expenditure of fuel and lubricants;
  • filling fuels and lubricants;
  • list of comparison of fuel consumption by drivers;

Repair and service accounting subsystem

The subsystem is designed to account for orders for the repair and maintenance of vehicles, accounting for repairs and scheduled maintenance, replacement of tires and batteries, and additional equipment. The program allows you to keep records of repairs performed both in your own repair area and in third-party car services.

Repair orders are recorded by the “Repair Pre-order” documents, which indicate the vehicle, the reason for the call, a list of faults and spare parts. In the case of a repair in a third-party car service, a preliminary repair order can be printed in the following form:

Based on pre-orders, the program generates repair sheets - documents that record the repairs, maintenance, replacement of tires and batteries. In the case of repairs at our own repair area, the “Repair List” document writes off spare parts from the enterprise’s warehouse, and in the case of repairs at a third-party car service, the document indicates the number and cost of the work performed. If drivers are involved in the repair, then the time spent on work will be included in the driver's time sheet.

Warehouse accounting subsystem

The subsystem is intended for carrying out warehouse operations: receipt of goods and materials to the warehouse, internal movement between warehouses, write-offs, inventory counts. Write-off of materials can be performed in one of the ways: FIFO, LIFO and average.
